How can we help?

Answers to the questions studios ask most. Can't find yours? Email hello@stratex.studio and a person will reply, usually within one working day.

Getting started

How do I sign up?

Go to sign up and create an account with your email and a password, or with Google. Then name your studio. That name appears on your quotes, contracts, invoices and the couple portal. The Free plan needs no card.

What should I set up first?

In Settings, fill in Business details (address, tax number, currency), add your logo and colours under Branding, and add your Packages. Under Payments, add your bank transfer, PayPal or Wise instructions.

Can my team use the same workspace?

Yes, on the Studio plan. Invite people from Settings → Team. The Free plan is for one user.

Moving from another CRM

Can I import my clients and jobs from Studio Ninja or HoneyBook?

Yes. Export a CSV from your old CRM, then go to Settings → Import from another CRM. Pick Studio Ninja, HoneyBook, or Spreadsheet / other CRM, upload the file and check the preview before anything is saved. Re-importing the same file doesn't create duplicates.

What gets imported?

Clients and their partners, contact details, addresses, lead source, tags and notes, plus jobs with their wedding date and value, and invoices with what has been paid. Signed contracts and files from your old system aren't imported; keep a copy of those from your old CRM. The full list is on Switching to FrameFlow.

How do I move everything across, step by step?

1. Export your clients as a CSV from your old CRM (Studio Ninja: Clients list → Export to CSV; HoneyBook: Contacts → Export). 2. In FrameFlow go to Settings → Import from another CRM, choose Clients, pick where the file came from and check the matched columns. 3. Press Preview, check the rows, then Import. Repeat with your jobs or projects export, your enquiries, then your invoices (Studio Ninja: Invoices list; HoneyBook: Reports → Payments). Importing clients first means jobs link to the right couple, and invoices link to the right job. No emails go to couples and no automations fire during an import.

Can an AI assistant move my data for me?

Yes. Claude connects in one click: copy the connector URL from Settings → API & MCP, add it in Claude under Settings → Connectors, sign in and press Allow. Cursor, Codex and other MCP apps use an API key from the same page. Then give the assistant your old CRM's export and ask it to add your couples, past weddings, enquiries, notes and past invoices with their payments. It can also record payments you've received and draft invoices for balances still owed. It can't send anything to couples, charge a card, create quotes or contracts, or delete anything, and every change is logged in the activity feed. More on Switching to FrameFlow.

Quotes, contracts and invoices

How do I send a quote?

Open the job, create a quote from one of your packages, and press Send proposal. The couple gets an email with a link where they can accept it, sign your contract and pay the deposit. Pick the contract and the payment plan for the balance on the quote. Once all three steps are done the wedding moves to Booked on its own, and the balance invoices are created with automatic reminders.

How do contracts and e-signatures work?

Create a contract on the job (from a template if you have one) and press Send to client. The couple signs online from the link in the email. You then counter-sign from the contract page, and both of you can download the signed PDF.

How do couples see and pay invoices?

Invoices appear in the couple's portal, and the deposit invoice opens straight after they accept a quote. Couples pay you directly using the bank, PayPal or Wise instructions you add under Settings → Payments, and you mark the money received on the invoice with Record payment. Card payments via Stripe are coming soon.

Can I make the client portal look like my studio?

Yes. Under Settings → Client portal you can upload a hero photo (PNG, JPG or WEBP up to 8 MB), choose a side-by-side or full-cover layout, pick a background palette and accent colour, choose heading and body fonts from a curated collection, and write the welcome line, welcome message and tagline. A live preview shows a sample couple on desktop and phone. The design also applies to quote, contract, invoice and questionnaire pages. The hero photo works on every plan; publishing a design needs the Studio plan, and a message written on a job still replaces your default welcome for that couple.

Does FrameFlow take a cut of my payments?

No. Couples pay you directly, so the full amount is yours. When card payments via Stripe arrive, they'll go straight to your own Stripe account and only Stripe's standard fees will apply.

Plans, upgrading and cancelling

How do I upgrade to the Studio plan?

The Studio plan is $240 a year (see pricing). Go to Settings → Plan & usage and choose Upgrade to Studio. You pay by card through Stripe and your workspace switches over straight away. If you'd rather be invoiced, email us.

How do I cancel?

If you pay by card, use Manage billing in Settings → Plan & usage. Otherwise email us. Your plan stays active until the end of the year you've paid for, then moves to Free. Nothing is deleted. If you cancel within 14 days of your first Studio payment, we refund it in full. The details are in the terms.

What happens when I move to the Free plan?

Nothing is deleted. You keep every client, job and document, but you can't have more than three active jobs or more than one user until you upgrade again.

Your data

How do I export my data?

The workspace owner can go to Settings → Your data and press Download export. You get a zip with one spreadsheet per table (clients, jobs, quotes, contracts, invoices and more) plus everything as JSON.

How do I delete my workspace?

The owner can delete it from Settings → Your data by typing the short name shown on that page to confirm. This is immediate and permanent, so export first. If you'd rather we close it for you and keep a copy for 60 days in case you change your mind, email us.

Where is my data stored, and is there a DPA?

Your database is hosted in the EU (Stockholm). You're the controller of your couples' data and we're the processor; our data processing agreement applies automatically. See also our privacy policy.
